Societies running larger events or events outside of their regular activities will need to submit an event proposal.
Event proposals can be made by setting up a draft event on your society dashboard – you will be prompted to answer important questions relating to your event.
What happens next?
Your Event Proposal Form enables us to check that you have considered all aspects of your event. Once submitted, this will be reviewed by the CSU Community & Events Coordinator and, if provisionally agreed, they will be in touch with you to discuss your event in more detail.
Deadline Table

Health, Safety and Insurance
You will need to complete an Additional Risk Assessment for any event or activity you do as part of your society that isn’t included in your Annual Risk Assessment. Risk assessments are about minimizing potential dangers and putting measures in place to avoid foreseeable risks. You have a duty of care towards anyone who attends your events, and if an incident happens, the risk assessment demonstrates that you did everything you could to make an activity safe.
Templates for additional risk assessments can be found on your dashboard.
Had an accident during an event?
Any on or off campus accidents and incidents, must be reported to CSU and the University of Chester as soon as practically possible. The accident or incident must be recorded by completing the Adverse Event Report Form found on your society’s dashboard.
Once completed this form should be sent to safety@chester.ac.uk and studentopps@chester.ac.uk
All members of CSU affiliated societies are covered by our Endsleigh Personal Accident Insurance Plan, which is a Group Personal Injury Plan provided by Chubb.
Copies of the policies can be found on your dashboard.
Off-Campus Trips & Guest Speakers
Each off-campus trip can be different to organise depending on where you are going. If you are planning a trip, contact your Student Groups Coordinator to talk about the best way to do this.
For activities not taking place on University of Chester premises you must submit a CSU Offsite Trip Register which can be found on your dashboard. This form will be submitted to the University Porters by us prior to your trip for your safety.
If your event includes a guest speaker, please complete the University’s guest speaker form found on your dashboard and follow the instructions on the form.
Need a hand planning your society event or trip? Contact studentopps@chester.ac.uk and we can talk you through it.
